Agency Eligibility

Selling Olivia vacations is a privilege available to professional travel agents who meet high customer service standards. In order to serve as an authorized Olivia agent, you must have a valid IATA or CLIA identification.

 
 


How to Book

To start the process of booking your customers on an Olivia vacation, please call 800.631.6277, option 1.


PLEASE NOTE THAT TRAVEL AGENT RESERVATIONS CANNOT BE MADE ONLINE AT THIS TIME.


Information required for booking

Before calling Olivia, please gather the following information for each client:

  • Complete legal name, exactly as it appears on their passport
  • Home address (street address, city, state, zip code, and country)
  • Telephone number
  • Email address
  • Form of payment

All reservations require a deposit. Olivia accepts Visa, MasterCard, and Discover. Please make sure you have the correct billing address and security code from your client’s credit card. All payments must be in US dollars.

Paperwork required for review and signing

At the time of reservation, you will receive an 8-digit reservation number for your client, and you will receive an email requesting guests’ agreement to Olivia’s Terms and Conditions. Each guest must agree to Olivia’s electronic ‘Terms & Conditions’ via their own individual Olivia travel profiles. Once all booked guests have completed this process, please notify your Olivia representative for the official confirmation follow up email.You may also click here to view our Terms and Conditions, which includes details on our cancellation policy. Please note that we cannot issue travel documents until the signed booking form is received. Travel documents will be sent to you approximately 4 weeks prior to the trip departure date.

Please have your client sign the booking form, and then return it on their behalf within 72 hours.

Insurance options
Olivia provides guests with an option to purchase travel insurance directly from Olivia; this is an excellent way for travelers to protect their investment. Olivia's insurance plan even includes coverage for job loss, something excluded from many travel insurance programs. Click here for more information on Olivia’s travel insurance. To ensure maximum coverage, insurance must be purchased within 10 days of the original trip purchase; your Olivia Travel Consultant will provide you with the premium amount at the time of booking. Travel insurance sales are commissionable.
Commissions
While others are lowering or eliminating commissions, Olivia is happy to offer you 10% on bookings. We even have additional incentives for those Travel Agents who book a certain number of trips with us in a calendar year.
  • 10% on the first 15 bookings
  • 11% on bookings 16 through 30
  • 12% on bookings 31 through 45
  • 13% on bookings 46 or more bookings
Commissions are normally paid 2 to 4 weeks after the departure date of a trip.  In the case of guest cancellation, commissions are paid on the net amount that Olivia retains as a cancellation penalty. The number of vacations booked is counted on an individual agent basis and is calculated based on the departure date of the trip. We must have a W9 form on file to pay you a commission. You may scan it and send it as an email attachment (the email address is on the form). Please note that we can only receive attachments of up to 2 MB. Alternately, you can fax this form to (415) 962-5710.

Please note that Olivia does not typically provide airfare options for our guests. When an airfare option is available, it is typically a charter flight or special discount offer and, as such, is not eligible for commission.

Olivia sometimes offers pre- and post-vacation stays (“Olivia Vacation Stretchers”), and we will offer you a 5% commission on these sales when booked directly through Olivia. Olivia also offers a 10% commission on travel insurance sales. Some pre- and post-vacation packages and or “host hotels” (hotel providing accommodations at the beginning or end of an Olivia vacation) are booked directly with the hotel; these sales are not commissionable.
Client Protection
At Olivia, we care about your success, and so we adhere to the following guidelines:
  • Clients you book on an Olivia Vacation will continue to remain your clients on all future bookings as long as you are the one who makes their Olivia reservations.
  • When we take reservations during our vacations, the client remains your client as long as they tell us they are working with you when they make the reservation or within a week of returning from the vacation. You should advise your client of this before the vacation.
  • We protect and support our agents and will do everything in our power to ensure your ongoing success.
